Evergreen's Restart Plan + resource for all COVID-19 related closures

BC’S RESTART PLAN AND EVERGREEN: THE NEXT STEPS FORWARD

As you may know, our facility has been closed to the public since March 17, 2020 due to the ongoing COVID-19 Crisis. However, with the announcement of BC’s Restart Plan on May 6, 2020 by our Chief Public Health Officer, we have determined that in accordance with the four phases of this plan, Evergreen will be able to re-open in a limited capacity starting in June. We know that this limited re-opening also raises new questions about our next season of programming. We have had many discussions to assess how we may continue to safely provide meaningful arts experiences to our community. This task has not been easy, and we have not made any decisions lightly. There is nothing we would like more than to return to normal, but the reality is that our next season will be faced with a “new normal”. 
   

IN ORDER TO SAFELY REOPEN DURING PHASE 2, TEAM EVERGREEN HAS DETERMINED THE FOLLOWING:
 
The Art Gallery at Evergreen will be re-opening to visitors in June! More details will be released as they become available.

We will continue to offer online programming via social media.

Summer camps will NOT be offered this year, but we hope to provide classes and workshops in the future.
    
Theatre presentations and other live events will NOT take place this summer.

Our 2020/2021 performing arts season will NOT be moving forward. We will be working to reschedule as many of these incredible performances as possible for our 2021/2022 season. If you have already purchased a theatre subscription for the 2020-2021 season, our Box Office staff will be contacting you directly about your subscription.
   
We may instead host a new selection of intimate performances for smaller audiences. We will update our audiences about new events as they are confirmed.
  

Thank you for your understanding and support as we all work together to safely re-open. We are heartbroken as we try to grapple with what the future holds for arts + culture organizations in the coming months. As a non-profit arts organization, we depend on the attendance and support of our patrons, volunteers, and donors to continue to bring meaningful arts programming to our community. We appreciate each and every person who has engaged with us on social media, donated the ticket cost of your cancelled event, or participated in our free video workshops. It means the world to us to stay connected.

ALL EVERGREEN COVID-19 CLOSURE + CANCELLATION UPDATES:

March 30, 2020 | 9am

To our Evergreen friends and family,

There is nothing we want more than to be with our arts community right now, but in order to protect our artists, audiences, volunteers, and staff, that being together simply isn’t possible. This week marks the beginning of our third week closed to the public, and as we continue to follow the news daily to plan for the future, we are so glad to see that socially distancing has had a meaningful impact on the rate of infection in Canada. More now than ever, we must do our part to flatten the curve and protect our community. 

In light of these continued restrictions, and the positive effects social distancing is having on Canadian infection rates, Team Evergreen has made the difficult but necessary decision to continue our facility shut down. This means all of our 2020 Season presentations, rental events, arts camps and classes, workshops, and public Art Gallery hours have now been cancelled until May 31, 2020, when we are hopeful we may be able to re-open to the public again.

If you have purchased a ticket to an Evergreen event, art camp, or arts education class that has now been cancelled, you will be contacted by our Box Office team to go over your options. Thank you for being patient and kind with our staff; they are responding to every message as quickly as possible. In order to take care of our staff, our Box Office team is now working remotely to encourage social distancing, so we will not be able to take phone calls at this time. If you are able to do so, we humbly ask you to consider donating the cost of your cancelled tickets back to the Evergreen Cultural Centre for a tax-deductible receipt. As a non-profit arts organization, we depend on the attendance and support of our patrons, volunteers, and donors to support local and touring artists, and continue to bring valuable arts programming to the community when we can open our doors again. Patrons will also be offered the choice to turn the cost of their tickets into a gift certificate for use at a later date, or if none of these options work for you, refunds will be available to all single ticket holders and attendees of these cancelled events.

To everyone in our arts community,

All day today, and throughout this growing crisis, we have been adjusting Evergreen’s programming based on the rapid updates from public health officials regarding COVID-19 in order to do our part to keep the community safe. In light of the most recent updates from the CDC and the City of Coquitlam – Municipality, we have made the difficult but necessary choice to cancel all of our Spring Break camps, programs, and presentations, and close our entire facility to the public, effective as of 12:01am on Tuesday March 17, 2020.

This means that the Art Gallery at Evergreen and Evergreen Cultural Centre will be closed to the public until further notice, and as such, we have no other option but to cancel our regularly scheduled gallery hours, all rental events, public programs, arts camps and classes, workshops, and all 2019-2020 season presentations until further notice. We are currently scheduled to re-open as of April 12, 2020. We are truly disheartened by these closures but know they are necessary.

We will be in touch with every family that was enrolled in our camps to offer refunds or camp credits in light of these new cancellations. We apologize in advance for this inconvenience, and thank you for your patience during this very difficult time. We will also be contacting all ticket holders for these cancelled events. While we will of course offer refunds to our patrons, we humbly ask you to consider donating the cost of your ticket to the Evergreen Cultural Centre to help us support these touring artists and continue to bring valuable arts programming to the community. As a non-profit arts organization, performance venue, and community space, please remember that we depend on the attendance and support of our patrons, volunteers, and donors. Patrons will also be able to switch their tickets for a different event later in the season, or turn the cost of their tickets into a gift certificate for use at a later date. The Evergreen takes the health and safety of our patrons, volunteers, and staff very seriously and we will continue to follow the directions of Canada’s Public Health Agency. As of March 16, 2020, ALL of our March 2020 Season events have been cancelled, as public gatherings of over 50 persons have now been banned. As our Spring Break arts camps are well below this limit, they are moving forward as scheduled. We have proactively cancelled the following April 2020 events, reopening our building for performances on April 14, 2020:

As a precaution for our visitors, staff, and volunteers, our March 21 Westminister Savings Family Days at the Art Gallery at Evergreen has been cancelled. We have also made the difficult decision in partnership with Dufflebag Theatre to cancel our Spring Break Festival.

We have been closely monitoring the developments and flow of information around COVID-19 from the World Health Organization, the Public Health Agency of Canada, and the Coquitlam Municipality. The Evergreen takes the health and safety of our patrons, volunteers, and staff very seriously and we will continue to follow their directions. As of March 12, 2020, the Province of BC’s Health Minister has placed a ban on mass public gatherings over the size of 250 guests. With a few exceptions of events in our 2019-2020 season that have already passed, the Evergreen’s capacity in our largest space is 215, and we are NOT affected by this ban on public events.

Currently, ALL of our scheduled performances, rental events, arts classes, and all Spring Break activities are moving ahead as planned. Any changes to our current schedule will be made public as soon as the information reaches our staff. We will continue to update our website and social media channels with the additional procedures we are implementing to keep you safe. The following measures have already been taken to keep the Evergreen and safe, healthy, and welcoming space:

• Increased cleaning and sanitation procedures at entry points and elevators, as well as washroom water taps and surface areas
• The facility’s professional cleaning team are continuing to thoroughly cleaning and sanitizing our building daily, regardless of activity
• Providing hand sanitizer near our high-traffic Art Gallery entrance
• Hand washing stations are available in or near all studios and event spaces around the building
• Campers, Volunteers, Audiences, and Staff will be encouraged to continue being diligent about personal hygiene and health awareness
• Additional reminder signs are being added to washroom facilities around the building to encourage effective handwashing
• Our Front of House team and Volunteers are using extra precautions while interacting with our guests, including implementing gloves for handling tickets, concession, and coat check at events
• Taking extra steps to avoid contamination of our bar glasses and concession dining wares, which continue to be thoroughly cleaned and sanitized to Foodsafe BC standards

The following measures have already been implemented by our Front of House staff + volunteers to keep the Evergreen and safe, healthy, and welcoming space:

The following measures have already been implemented by our Technical staff to keep the Evergreen and safe, healthy, and welcoming space:

• Working to implement new sanitation procedures with the facility’s professional cleaning team, who are continuing to thoroughly clean and sanitize our building daily, regardless of activity
• Hand washing stations are available in or near all studios and event spaces around the building
• Campers, Volunteers, Audiences, and Staff will be encouraged to continue being diligent about personal hygiene and health awareness
• Taking extra precautions like actively wiping down and sanitizing handles, railings, movable chairs throughout the facility, as well as our studio theatre seating

Cancelled Events + Ticket Refunding

While we will be offering refunds to all ticket holders for events cancelled due to the corona virus (Effective March 14 – April 12, 2020), we humbly ask you to consider donating the cost of your ticket to the Evergreen Cultural Centre to help us support these touring artists and continue to bring valuable arts programming to the community later in our season.

As a non-profit arts organization, performance venue, and community space, please remember that we depend on the attendance and support of our patrons, volunteers, and donors. Patrons will also be able to switch their tickets for a different event later in the season, or turn the cost of their tickets into a gift certificate for use at a later date. If none of these alternate option appeal to you, then a full refund will be provided. If you request a refund, you’ll receive an email within the next 1-2 days to confirm your refund has been issued. After this step, it will take 3-5 business days for your funds to return to your account.

If you have purchased a ticket to an event that has now been cancelled, you will be contacted by our Box Office team to go over your options. Please be patient and kind with our staff, as we have been overwhelmed by questions and concerns from the public, and we are responding to everyone as quickly as possible.
